The Convention Services Manager properly plans and coordinates all meeting and convention group-related activities from arrival to rooms to meetings to departure. Guarantees that each client’s expectations, requirements, and requests are being met prior to arrival and throughout their visit, along with ensuring maximum courteous service and satisfaction. You will be the main contact for the client between the hotel and group.

Duties:

  1. Service all functions and customers with respect, cooperation and friendliness
  2. Handle and follow through on telephone inquiries regarding exhibition groups
  3. Establish and maintain standards of quality of service
  4. Continuously review and analyze current market situations and competitors in regard to Technical advancement and meeting amenities.
  5. Maintain ongoing knowledge of local and national meeting/convention/technical trends.
  6. Act as a liaison between Hotel department’s and clientele
  7. Maintain on-going knowledge and enforce Hotel policies and procedures
  8. Conduct daily update meetings when appropriate to discuss your meeting events/challenges
  9. Attend monthly sales meetings and relay concerns to Director of Convention Services and Banquet Manager
  10. Complete all tasks assigned by the Director of Convention Services.
  11. Up sell to ensure maximum revenue
  12. Continually update Convention Services Manual
  13. Interact positively with others and functions as a contributing team member both in and out of the Convention Services department
  14. Prepare meeting and av banquet event orders
  15. Help Sales Department with Site visit
  16. Coordinate planning site visits with clientele
  17. Handle rooming list, reservations, resumes, amenities, limo, pre conference, post conference, and all aspects of the groups stay.
  18. Aware and enforces fire codes and regulations when it comes to exhibits/trade shows

Qualifications 

  1. Must be flexible in work schedule; to be able to work any and all shifts as required.
  2. Working knowledge of Microsoft world and Excel. Would prefer proficiency in Delphi or FDC Catering/Sales system.
  3. CMP certification a plus.
  4. Background in catering/sales/banquet or related field in major hotel, casino, or restaurants.
  5. Working knowledge of computers, management skills, catering/banquets /meeting, audio visual operations and banquet operations and sales
  6. Must be organized and able to handle multiple priorities
  7. Ability to solve problems and make decisions
  8. Excellent interpersonal, communication, and teambuilding skills required
  9. Excellent verbal and written communication skills
  10. Ability to coordinate multiple tasks at once with minimal direction
